Techsylvania 2020 has been rescheduled. Why and when?

The new dates are September 20 – 23, 2020. Due to growing concerns over the coronavirus (COVID-19), and with the well-being of attendees, partners, and staff as the number one priority, Techsylvania has decided that rescheduling the event is the responsible course of action at this time. This decision was made after consulting with the local government, partners, and staff, to whom Techsylvania would like to express gratitude for their understanding, patience, and continuous support.

I have purchased tickets for Techsylvania 2020. Are they still valid?

Yes. If you purchased tickets to Techsylvania 2020 prior to the date change, they are now valid on September 22 and 23.

I have purchased tickets for Techsylvania 2020 and I can’t attend the rescheduled event. What is the refund policy?

Our standard cancellation policy applies in this case, also:

Cancellations must be submitted in writing via email to tickets@techsylvania.co. A full refund minus a € 5 + VAT processing fee in addition to a ticketing fee (depending on ticket value) will be given only for cancellations received at least prior to one month before the first day of the event. If overdue, a transfer to the following year may be offered upon written request. Student tickets are non-refundable.

I have already booked my hotel and flights for the event in June, will I be reimbursed?

Techsylvania is not responsible for reimbursing you for your hotel and flights. We recommend reaching out to the hotel or airline directly to cancel your reservation and request a refund.

I have won a free ticket during one of Techsylvania’s campaigns. Is it still available?

Your tickets will remain valid for the new dates. No action needed from your side.

TERMS AND CONDITIONS

This document sets out the terms and conditions between Techsylvania and you when you purchase a ticket or register for any event or conference organised by Techsylvania or participate in any survey of Techsylvania. By purchasing a ticket or registering for an event or conference organised by Techsylvania or participating in a survey you are agreeing to comply with and be bound by these terms and conditions. You should read this document carefully.

Techsylvania reserves the right to change these terms and conditions at any time. Any amended terms and conditions will be posted on this website. Applicable from May 25, 2018.

Conference Organizer

Techsylvania events are being organised by Techsylvania Partners SRL, a wholly Romanian-owned company, which has as main activity the organising technology conferences and/or its affiliates, one of its affiliates being Asociația Alpha IT Events (both Techsylvania Partners SRL and its affiliates will be referred to hereinafter as Techsylvania).

Code of Conduct

We wish that Techsylvania is a safe and enjoyable place for all. For this to happen, a code of conduct must be respected by all delegates, speakers, sponsors, volunteers and participants. Participants who violate these rules can expect to be sanctioned by the event staff and including being expelled from the conference without any claim to a refund of the ticket price.

We do not tolerate harassment of conference participants in any form. Sexual language and imagery is not appropriate for any conference venue, including talks and workshops. Harassment includes offensive verbal comments related to gender, sexual orientation, disability, physical appearance, body size, race, religion, sexual images in public spaces, deliberate intimidation, stalking, following, harassing photography or recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome sexual attention.

Participants asked to stop any harassing behavior are expected to comply immediately.

If you find yourself in this situation, or notice that someone else is being harassed, or have any other concerns, please contact a member of the conference staff immediately. The Techsylvania team is at your disposal and ready to help you at any time. We value your attendance and hope you feel safe.

We expect participants to follow these rules at our events and related social events

Usage of Photographic and Video Material

Techsylvania takes photographic and video material of attendees at events. In registering for a conference, you acknowledge that we may include images of yourself intact or in part for material used in various publications, press releases, promotional activities, or other related endeavors. This material may also appear on the Techsylvania conferences website or related social media pages. By agreeing to this terms and conditions, you hereby express your consent to the use of photographic and video material that may include yourself whether intact or in part.

Online Surveys

I hereby give my consent for Techsylvania to store and use any information I may provide voluntary in the course of participating in an online survey. I acknowledge and accept that by voluntarily giving my personal data in the course of participating in an online survey, I am expressing my consent to collecting and processing of that data by Techsylvania. I also acknowledge and accept that my data will be used for commercial purposes in accordance with the Data Protection Policy and will be retained and stored for this purpose.

Ticket Registration

I hereby give my consent for Techsylvania to use for the purposes of processing complimentary ticket or any other kind of ticket registration the mandatory data and any voluntary data I provide when registering a complimentary admission ticket. I further give my consent for the voluntary data provided to be collected and processed for the specified purpose and for statistical analysis. I acknowledge and accept that my data will be used in accordance with the Data Protection Policy and will be retained and stored for this purpose.

Cancellation Policy

Tickets Information

YYou cannot resell a subsidised ticket, student tickets as doing so will void the ticket and the ticket holder will not gain entry into the event.

All tickets must be assigned to an attendee, and all attendee details must be 100% complete within 30 days of receipt of your ticket. For the avoidance of doubt, this includes, without limitation, name, job title, industry, company name, email address.

Ticket reassignment after this date is prohibited.

In certain cases free or subsidised tickets may be offered within 30 days of the event start date. In these instances tickets must be assigned within 7 days of receipt of your ticket in accordance with the details provided in the above paragraph.

Our subsidised ticket offers sometimes include a processing fee. This fee is non-refundable in its entirety.

PRIVACY POLICY

Techsylvania Partners SRL, a wholly Romanian-owned company and/or its affiliates, one of its affiliates being Asociația Alpha IT Events (both Techsylvania Partners SRL and its affiliates will be referred to hereinafter as Techsylvania) collect and process personal data of the purchasers of tickets for the conferences organized by Techsylvania, of the participants to to such conferences and of the persons who subscribe to the newsletter by filling in the form on the main page (hereinafter referred to as the Individuals), according to the EU – Regulation no. 679/2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (hereinafter referred to as the Regulation).

CATEGORIES OF PERSONAL DATA THAT ARE COLLECTED AND PROCESSED

Techsylvania collects and processes the following personal data of the Individuals: first name, last name, email address, company and job industry, job title and role in the company, bank account details and information regarding any special diet of the Individual.

LEGAL BASIS

For the abovementioned activity, Techsylvania relies:

  • for collecting and processing the first name, last name, email address, company and job industry, job title and role in the company, bank account details and information regarding any special diet of the Individual, on art. 6 par. 1 letter b) of the Regulation, i.e. the collecting and processing of the personal data is necessary for the performance of the contract having as an object the purchase by the Individuals of entry Tickets to the conferences organized by Techsylvania;
  • for collecting and processing you email in order to send you newsletters for the purposes below, on art. 6 par. 1 letter a) of the Regulation, on the consent of the Individual, consent which is expressed by the Individual both by filling in the form on the main page and subscribing to the newsletter and by ticking the „subscribe to newsletter” box, when purchasing a ticket.

PURPOSE

The personal data is collected and processed for the following purposes:

  • Techsylvania collects and processes the first name, last name, email address, company and job industry, job title and role in the company, bank account details and information regarding any special diet of the Individual in order to register each Individual, who purchased or holds a ticket to a conference organized by Techsylvania, all the information, except for the bank account details, being used in order to give the Individual its participant badge to the event. Bank account details are being processed strictly for payment of the tickets. Information regarding any special diet of the Individual is necessary, because at the conferences and events organized by Techsylvania, the Individuals might be served food and beverages during coffee breaks and lunch;
  • Techsylvania processes the company and job industry, job title and role in the company of the Individuals for statistical purposes, in order to have a representation of the participants to the conferences and events organized and, thus, be able to create conference content relevant to the participants;
  • Techsylvania processes the first name, last name and email address of the Individuals in order to send them information about organizatory aspects of the conference or the event, including scheduling and logistics;
  • Techsylvania processes the first name, last name and email address of the Individuals in order to:
    • keep the Individuals up to date of any news regarding the conferences and events organized by Techsylvania, as well as any other communications that might interest them;
    • send the Individuals news and announcements regarding Techsylvania and its members;
    • send the Individuals invitations to events or conferences organized by Techsylvania or by Techsylvania partners.

STORAGE. RECIPIENTS OF THE PERSONAL DATA

The personal data that is collected will be stored on the Madmimi platform (https://madmimi.com/ – the marketing platform), on the Xing platform (https://www.xing-events.com – the event management system) and Google Drive (workspace and cloud storage), all three being third-party processors, compliant with the Regulation, according with their own statements in this respect.
Techsylvania’s employees, co-workers or other collaborators also have access to the personal data.

DURATION OF STORAGE

The personal data is stored as follows:

  • the company and job industry, job title and role in the company of the Individuals are stored for 4 years
  • the first name, last name, email address are stored until the Individuals withdraw their consent by unsubscribing from the newsletter;
  • information regarding any special diet of the Individual are stored until the conference or the event for which the information was provided has ended.

In all the situations, the personal data will be stored for a longer period, if required by the applicable law.

RIGHTS OF THE INDIVIDUALS

The right to be informed and to have access to the data
The Individuals have the right to access their personal data and to be provided, following their request, with the following information:

  • the purpose for which their personal data is collected and processed;
  • the categories of personal data that are collected and processed and the legal basis thereof;
  • the period for which the personal data will be stored, or if that is not possible, the criteria used to determine that period;
  • the recipients or the categories of recipients of the personal data, if the case;
  • the existence of their right to request access to their personal data;
  • the existence of their right to request rectification or erasure of their personal data, the restriction of the processing activity or to object to the processing activity;
  • the existence of the right to data portability;
  • the existence of the right to lodge a complaint with the competent supervisory authority in Romania or with the competent judicial court;
  • if their personal data is used for any automatic decision-making process, including profiling and all the details regarding such process;
  • Whether Techsylvania intends to transfer their personal data to a third country or international organization and the existence of the right of the data subject to be informed regarding appropriate or suitable safeguards;
  • whether providing the personal data is due to a statutory or contractual requirement or a requirement necessary to enter into a contract;
  • whether they are obliged to provide their personal data and of any possible consequences of failure to provide such data.

The right to rectification
The Individuals have the right to obtain from Techsylvania without undue delay the rectification or the completion of any inaccurate personal data concerning them.
Techsylvania shall communicate any rectification of the personal data to each recipient to whom the personal data has been disclosed, unless this proves to be impossible or it involves a disproportionate effort. Techsylvania shall inform the Individuals about all such recipients, if they request it.

The right to be forgotten
The Individuals have the right to request the erasure of their personal data, where one of the following grounds applies:

  • the personal data is no longer necessary in relation to the purposes for which they were collected and processed;
    the Individual withdraws his/hers consent on and where there is no other legal basis;
  • the Individual objects to the processing of his/hers personal data for specific reason and there are no overriding legitimate grounds for the processing;
  • the Individual objects to the processing, applicable in those cases where the purpose of the processing is direct marketing;
  • the personal data has been unlawfully processed;
  • the personal data have to be erased for compliance with a legal obligation prescribed either by the law of the European Union or of a Member State to which Techsylvania is subject;
  • the personal data has been collected in order for offering informational services.

Techsylvania shall communicate any erasure of the personal data to each recipient to whom the personal data has been disclosed, unless this proves to be impossible or it involves a disproportionate effort. Techsylvania shall inform the Individuals about all such recipients, if they request it.

The right to request the restriction of the processing activity

The Individuals shall have the right to obtain the restriction of the processing activity where one of the following applies:

  • the Individual challenges the accuracy of his/her personal data, in which case the processing will be restricted for the period necessary in order for Techsylvania to verify the accuracy of the personal data;
  • the processing is unlawful and the Individual opposes to the erasure of his/her personal data and requests the restriction of its use instead;
  • Techsylvania no longer needs the personal data for the purposes of the processing, but the personal data is needed by the Individual for the establishment, exercise or defence of legal claims;
  • the Individual has objected to the processing activity, in which case the processing activity will be restricted until Techsylvania establishes if its legitimate grounds for the processing override those of the Individual.

Techsylvania shall communicate restriction of the processing of the personal data to each recipient to whom the personal data has been disclosed, unless this proves to be impossible or it involves a disproportionate effort. Techsylvania shall inform the Individuals about all such recipients, if they request it.

The right to object to the processing of the data

The individuals have the right to object at any time:

  • on grounds relating to his/her particular situation, to the processing of personal data concerning him/her, including profiling, except for those cases where Techsylvania either demonstrates compelling legitimate grounds for the processing, which override the interests, rights and freedoms of the Individual or the processing is necessary for the establishment, exercise or defence of legal claims;
  • without any justification, to the processing of personal data concerning him/her for direct marketing purposes (including profiling to the extent that it is related to such direct marketing), in the name of Techsylvania or of a third party or that his/her data to be communicate to third parties for such purpose.

The right to data portability

The individuals have the right to receive the personal data concerning him/her, which he or she has provided to Techsylvania in a structured, commonly used and machine-readable format.

The individuals have also the right to request that Techsylvania transmits their personal data to another controller directly from the controller to which the personal data have been provided, where technically feasible.

The data portability does not automatically trigger the erasure of the data from the systems of Techsylvania and does not affect the initial storage period applicable for the transmitted personal data.

The right not be subject to a decision based solely on automated processing
The individuals have the right not to be subject to a decision based solely on automated processing, including profiling, which produces legal effects concerning him or her or similarly significantly affects him or her.

According to the Regulation, the Individuals can be submitted to a decision-making process as the one referred above only in the following situation:

    • it is necessary for entering into, or performance of, a contract between the Individual and Techsylvania;
    • it is authorized by Union or Member State law to which Techsylvania is subject and which also lays down suitable measures to safeguard the individuals’ rights and freedoms and legitimate interests;
    • it is based on the individuals’ explicit consent.

The right to withdraw its consent

The individuals have the right to withdraw their consent at any time. The consent can be withdrawn either by clicking the „unsubscribe” button in the newsletter they receive or by sending an email with the text „unsubscribe” to contact@techsylvania.co.
The withdrawal of the consent does not affect the lawfulness of the data processed based on the consent before the withdrawal.

The right to an effective judicial remedy

The individuals have the right to lodge a claim in front of the competent judicial courts if he or she considers that his or her rights under the Regulation have been infringed as a result of the processing of his or her personal data in non-compliance with the Regulation.
Proceedings against Techsylvania shall be brought before the Romanian courts, the Member State where Techsylvania has its establishment.
Proceedings against the supervisory authority shall be brought before the courts of the Member State where the supervisory authority is established.

Procedural aspects for the exercise of the abovementioned rights

In all the cases where the Individuals wish to exercise one of the rights referred to above, the Individual will forward its request to Techsylvania in writing, with date and signature or in electronic format, using the following contact details:

Where the Individual makes the request by electronic form means, the information shall be provided by electronic means where possible, unless otherwise requested by the Individual.
Techsylvania shall provide the response to the Individual within one month of receipt of the request. This period may be extended by two further months where necessary, taking into account the complexity and number of the requests. Techsylvania will inform the Individual of any such extension within one month of receipt of the request, together with the reasons for the delay.
Where requests from the Individuals are manifestly unfounded or excessive, in particular because of their repetitive character, Techsylvania may either:

    • charge a reasonable fee taking into account the administrative costs of providing the information or communication or taking the action requested;
    • refuse to act on the request.
